Main Duties
Assist with Event Travels
- Liaise with Embassies for submission and completion of Visa applications
- Assist travel coordinators with cross referencing flight, transport and hotel Lists as well as complete Itineraries and be prepared to support them during busy period
- Assist in keeping all Traveller data such as passports, driving licences up to date
- Assist with all post event invoicing and reconciliation
- Checking & coding of invoices from all suppliers
- Consolidate all credit cards for the Travel Office Team
- Prepare monthly Spreadsheets, Information for the Finance department
- Raising requisitions in D365
- Updating internal systems to reflect payment statuses
- Creation and delivery of regular traveller headcounts to Events to Sporting Director
- Assist Travel Office Manager with tracking Budgets and any other data
- Assist with importing Traveller Data and update all files as needed
- Responsible for Keeping all Traveller Data up to date
- Assist with importing all other needed data such as flights, accommodation, transfers etc for all Race Events
- All team members within the Travel Office are required to provide ad-hoc out of hours support to assist with any travel issues that may arise out of office hours and weekends requiring urgent attention.

Qualifications
Qualifications and Experience Level:
- Must be able to work in a fast-paced environment.
- Advanced knowledge of MS office Suite, in particular Outlook, Excel and Word.
- Impeccable attention to detail with the ability to handle multiple projects at the same time.
- A team player who is comfortable working with internal and external entities.
- Strong interpersonal skills with courteousness, tactfulness, and professionalism.
- Demonstrate effective time management skills and the ability to manage multiple tasks with changing priorities and multiple events
- Strong problem-solving skills
- Prior experience with project management is beneficial
- Experience using GDS platform is preferred but not a mandatory requirement.
- Flexible and Proactive approach to task management
